Greyscale, Colour, and What a Printer Actually Does

Why a document that looks right on screen prints muddy, where the colour conversion happens, and what you can control before sending it.

A document looks right on the screen and comes out of the printer muddy, or grey where it should be black, or with a photograph that has lost its shadows. The screen and the printer are not disagreeing about your file. They are two different machines making colour in incompatible ways.

Light against ink

A screen makes colour by adding light: red, green and blue together make white. A printer makes colour by subtracting it, laying down inks that absorb light, and its inks are cyan, magenta, yellow and black. There are colours a screen can show that no ink mixture reproduces, and the vivid ones go first.

Somewhere between your file and the paper, every colour has to be converted from one system to the other. That conversion is usually done by the printer driver, using assumptions about your printer that it cannot verify.

Where the disappointments come from

  • Saturated blues and greens shift, because they sit outside what the inks can mix.
  • Large flat areas show banding, because a printer builds a tone from a pattern of dots rather than a continuous shade.
  • Text that is nearly black is printed from a mix of all four inks instead of just the black one, which looks soft and slightly coloured. True black text uses black ink alone.
  • Pale greys can vanish. A grey that reads clearly on a bright screen may fall below what the printer will place a dot for.
Nothing here converts colour for print: This site does not do colour management, does not convert documents to a print colour space, and does not embed printer profiles. What you export is what you composed. If a job needs matched colour, that belongs with whoever is printing it, and they will ask for a specific profile.

What you can control

    Use real black for text

    If you are building the document, a plain black rather than a dark mix prints crisper. The difference is most visible at small sizes.

    Prefer strong contrast to subtle shading

    Anything you can only just see on screen is a coin toss on paper.

    Print one page before you print eighty

    On the printer that will do the job. Every piece of advice above is a generalisation; the test page is the measurement.

    Ask for greyscale deliberately

    Letting the printer decide to convert gives you its interpretation. Choosing greyscale in the print dialog is a choice you made.

  • Screens add light, printers subtract it, and some screen colours have no ink equivalent.
  • Saturated colours shift, flat areas band, and near-black text prints soft.
  • This site does no colour conversion and embeds no printer profile.
  • High contrast, real black, and one test page on the actual printer.
